What Happens to Acknowledgement Tasks when Stakeholders are Changed?

Changes can be made to users and roles that are stakeholders in a Process, Value Stream, or Managed Document

Owner

  • When you swap one owner for another, the task moves from the old owner to the new one.

Expert/s

  • When you swap one expert for another, the task moves from the old expert to the new one.

  • If you delete an expert role without replacing it, the task is removed.

  • If you later add a new expert role, a new task is created.

Author

  • When you swap one author for another, the task moves from the old author to the new one.

  • If you delete the author role without adding a new one, the task is removed.

Manual Informee

  • When you swap one manual informee for another, the task moves from the old informee to the new one.

  • If you delete the informee without replacing it, the task is removed.

Automatic Informee / Assigned Roles

  • If you replace one role with another, the new role receives the task and the old one is removed.

  • If you remove all roles and set to Unassigned (or assign to a role with no users), all tasks are removed.

Remember

  • Tasks are always assigned to users, not roles. If a role has no user, no task is created.

  • If a stakeholder is removed and you later replace it with a role that has a user, there is no task to transfer.

  • Tasks can be sent during acknowledgment by using the Request Acknowledgement button.
