Merge Attachments

Duplicate or similar attachments can be merged into a single attachment.

Administrators and users with Add Attachments user permission are able to merge attachments.

Quick Steps

  1. Navigate to Attachments summary page in the left-hand navigation menu

  2. Select attachments to merge by clicking the select box appearing before the title

  3. Select bulk change button at the top right of the map. The bulk change sidebar will open displaying two tabs: Actions, Properties

  4. Under the Actions tab, select Merge. Merge Attachments popup will show, containing details, properties and change log tabs:

    1. Details:

      • Keep After Merge - select which attachment is kept after merge. The rest will be deleted.

      • Send merge notifications? - Toggle on or off to send notifications to the authors and owners of the attachments that are deleted during the merge.

      • Further details of the selected attachment will display. These details can be changed if needed: Title, Owner, Author, Tags, Group, Upload/Link.

    2. Properties

      • Properties of the selected attachment will display. These properties can be changed if needed: Review cycle, Review date, Business continuity.

    3. Change log displays logged changes, explained later in this article.

  5. To view the final attachment before merging, select the View Attachment button.

  6. Select the green Merge Attachments button to merge the attachments.

All the selected attachments will be combined into one attachment that contains the chosen details and properties. Everywhere the original attachments were used will be updated to use the final merged attachment instead.

Notifications

  • Owner and author of the deleted attachments receive notification when attachments are deleted during merge

Versioning and Change Log

  • Merging attachments increases the version number by 0.1.

  • The change log will show which attachments were merged, which attachment was kept, and the updated version.
