Objects are Locked During Approval

Locked status prevents changes to an object and its stakeholders while it is going through an Approval process to be published.

To make sure everyone is reviewing the same version of a process, the system automatically "locks" objects (processes, value streams, managed documents) once they are sent for approval. This ensures that no one can make accidental changes while stakeholders are still making their decisions.

While an object is in a Locked status, it is treated as "Read-Only." The map, right-hand side diagram content menu and all information is visible but cannot be changed until the approval is finished and the object is published.


Status

When you open an object that is currently in an approval workflow (awaiting approval status), you will see a red tag beneath the title that says: 'Editing locked'.

However, only the 'Awaiting Approval' status chip will display on the summary screens. When you try to click on a button that is disabled, a small message (tooltip) will appear to explain that the feature is unavailable because the object is in awaiting approval status.


Notes

  • To edit the object again, the approval process must either be completed (Published) or it must be rejected (Approval Declined status). All editing tools will reappear.

  • Only the 'Awaiting Approval' status chip will display on the summary screens.

  • Objects awaiting approval with a locked status are filtered out of the "Ownership Report" and are not selectable for bulk change. This prevents a mass update from accidentally changing a document that is currently being signed off by stakeholders.
