Stakeholders and Plan Template

Assigning stakeholders (Owner, Expert, Author, Informed) to a plan and configuring the plan template.

Every plan needs people — someone to own it, people to contribute, and others who need visibility. The Stakeholders tab lets you assign these roles. The Plan Template tab shows which template defines the plan's structure.

Why Stakeholders Matter

Stakeholders control both access and accountability. The owner is responsible for the plan's progress. Different stakeholder roles indicate different levels of involvement — some are hands-on contributors, others just need visibility. This keeps the right people informed without giving everyone the same level of access.

Quick Steps

Manage Stakeholders

  • Open the plan and expand the right sidebar.

  • Click the Stakeholders tab.

  • The panel shows current stakeholders grouped by role.

  • Click Add Stakeholder to assign a person.

  • Select the user from the directory and choose their role:

    • Owner — Full control. Responsible for the plan. Can edit all goals, focus areas, and settings.

    • Expert — Subject matter expertise. Can view and contribute to the plan.

    • Author — Content contributor. Can create and edit goals and content within the plan.

    • Informed — Visibility only. Receives updates but does not edit the plan.

  • Click Save.

View the Plan Template

  • Click the Plan Template tab in the sidebar.

  • This shows the template that defines the plan's structure — its default fields, layout, and behaviour.

  • The template is set when the plan is created and typically doesn't change.

Restrictions

  • Each plan must have exactly one Owner.

  • Only the owner or users with admin permissions can change stakeholders.

  • Informed users cannot edit the plan — they can only view it and receive updates.

  • The plan template is usually set at creation time and cannot be changed later.

  • Plan-level edit access (Owner, Expert, Author) cascades to all goals and focus areas within the plan.

Important: The four stakeholder roles (Owner, Expert, Author, Informed) map to different permission levels. When in doubt about what a role can do, check with your admin — your organisation may have customised the permission model.
