The Allow Restricted Edit user permission allows authorised administrators and stakeholders to make limited changes to processes while they are in Awaiting Approval status. This can be useful when a minor correction is identified, such as a spelling mistake, without requiring the process to go through the full approval process again.
What can be edited?
When the permission is enabled, the following fields can be edited on a process in Awaiting Approval status:
Process title
Process objectives
Activity title
Task title
Trigger title and description
Input title and description
Output title and description
All other fields remain read-only.
How does restricted editing work?
A stakeholder or administrator must have the Allow Restricted Edit permission enabled.
When they open a process that is Awaiting Approval:
The permitted fields can be edited.
All other fields remain read-only.
The administrator/stakeholder can save the changes without changing the process status.
The changes are recorded in the change log, including the user who made the change and the time it was made.
When does the permission apply?
The permission only applies to processes in Awaiting Approval status.
It does not change how processes in other statuses can be edited. Existing editing and viewing permissions continue to apply to other statuses.
Managing the permission
The Allow Restricted Edit permission is available in the user permission settings. It is disabled by default.
An administrator can enable the permission for a user when they need to make the permitted changes to processes that are awaiting approval. Only if that user is a stakeholder or administrator will they be able to make these limited changes.
Disabling the permission restores the existing behaviour, meaning that the user cannot edit processes while they are in Awaiting Approval status.
