Publishing and Previewing a Dynamic Report
Description
Once you've configured your report's columns, filters, grouping, and KPI sections, you can preview the data directly in the designer and then publish the report so it appears in the Reports > Dynamic Reports section for your team to access.
Why Preview and Publish?
Previewing lets you verify that your report shows the right data before making it available to others. Publishing makes the report discoverable and accessible to your team through the main Reports section. You can also unpublish a report to temporarily remove it without deleting the report builder configuration.
Restrictions
Preview shows a maximum of 20 rows in the designer
Only users with the
AllowReportBuildercompany setting enabled can publish reportsUnpublishing removes the report from Reports > Dynamic Reports but the report builder entity remains in the summary
Quick Steps
Previewing Report Data
In the Report Designer, click the Preview Data button
A sample of up to 20 rows loads in the designer
Preview respects your current filter rules and grouping settings
Preview updates automatically when columns are added or removed
Use preview to verify that filters, grouping, and column layout produce the expected results
Publishing a Report
Click the Publish button in the designer
The system sets
IsPublished = trueand records aPublishedAttimestampThe published report now appears in Reports > Dynamic Reports
A View Report link appears in the designer, opening the published report
Unpublishing a Report
Click the Unpublish button in the designer
The system sets
IsPublished = falseThe report is removed from Reports > Dynamic Reports
The report builder entity remains in the Report Builder summary — it is not deleted
Updating a Published Report
Make changes to your report in the designer (column layout, filters, KPI sections, etc.)
Click Save to persist your changes
Changes are immediately reflected in the published Dynamic Report view
You do not need to unpublish and republish — the Dynamic Report view reads from the same report builder entity
Important Notes
Preview data is limited to 20 rows. This is intentional — use preview to verify structure and filters, not to review the full dataset. Publish the report and use the full Dynamic Report view for complete data.
You do not need to unpublish and republish a report when making changes. Simply save your changes in the designer and they flow through to the published report automatically.
Unpublishing a report does not delete it. The report builder entity remains in the summary and can be re-published at any time.
