Exporting Form Submissions as PDF

Export completed form submissions as PDF documents with full details and workflow history.

Written by James Ross

Overview

Completed form submissions can be exported as PDF documents for printing, archiving, or sharing. This article covers how to export submissions and what is included in the PDF.

Exporting a Submission as PDF

Quick Steps

  • Open a completed form submission

  • Click the Print / Export PDF action

  • The PDF is generated and downloaded

What's Included in the PDF

  • Form title — displayed at the top of the PDF

  • Field labels and values — every submitted field appears with its label and the entered value

  • Submission metadata — submitter name, submission date, and current status

  • Workflow status — the current status is shown in the footer

  • Status change history — all status transitions with timestamps

  • Rejection reason — if the submission was rejected, the reason is clearly displayed

PDF Formatting

The PDF is formatted for clarity and professionalism:

  • Field values are displayed without a leading dash character

  • Values are aligned properly with their labels

  • Date fields with time values include the time component (e.g. "01/09/2026 14:30")

  • Date fields without time show the date only

Important: The PDF reflects the submission at the time of export. If the workflow status changes after export, the PDF will not update — re-export to get the latest status.
