A shared Managed Document remains managed by the company where it was created.
Share a Managed Document
To share a Managed Document with another company:
Open the Managed Document.
Change its access level to Global.
Select the companies that should have access.
Publish the Managed Document.
The Managed Document becomes available to the selected companies after it has been published.
When the document types exists in the recipient company
If the same document type exists in the company viewing the shared document, the document appears under that existing document type.
When the document type does not exist in the recipient company
A shared Managed Document can still be displayed even if its document type has not been created in the company viewing it.
In this case, the document types will be split into 2 sections:
Local Types show only documents owned by the current company.
Global Types
Show only globally shared documents that have been granted to the current company.
The document type remains owned and managed by the source company. Changes made to the document type in the source company are reflected where the shared Managed Document is viewed.
No types can be added or changed under global types.
Export is available (PDF, Excel, CSV).
Add new documents
A company cannot add a new Managed Document against a document type that does not exist in that company.
To add a new document against that type:
Create the document type in the current company.
Return to the Managed Documents area.
Add the new document against the document type.
The shared Managed Document can still be viewed even when the document type does not exist locally.
