System Tasks Explained

System Tasks help manage actions that require attention within ProcessPro. It is not the same as notifications.

Tasks can be created automatically when an action or review is required and are updated as changes are made to the related process, project, or system.

Task management

  • Tasks are automatically assigned to the appropriate users based on their roles or responsibilities.

  • Tasks are updated or removed when the related user, role, or object changes.

  • Completed tasks can be cleared using the available task actions.

  • A task count is displayed in the sidebar so users can quickly see how many tasks require attention.

Reviews and approvals

System Tasks can be created when a review is required, such as when a software system reaches a review point. Task summaries provide access to the relevant item and allow users to complete actions such as approving or declining an item without having to navigate away from their current view.

Email notifications

System Tasks can generate email notifications when users need to take action or provide information. Emails use a consistent format and provide relevant context about what requires attention. External users can also receive notifications when their input is required.

Task history and updates

Task activity is managed automatically in the background, allowing tasks and related notifications to be updated without interrupting the user's work. Tasks are also cleaned up when they are no longer relevant, such as when the associated item is deleted or a user is removed from the relevant role.
