Managing Workflow Tasks — Escalation, Reassignment, and Notifications

Escalate or reassign workflow tasks to other users, and understand how email notifications work for task assignment and escalation.

Overview

Workflow tasks can be escalated or reassigned to different users when needed. The system also sends email notifications to keep users informed about their assigned tasks.

Quick Steps

Escalate a Task

  • Open the workflow detail for an active workflow.

  • Select the task you want to escalate and click Escalate.

  • In the escalation dialog, select the target user and enter a reason.

  • Click Confirm.

  • The original task status changes to Escalated. A new task is created for the target user.

  • The audit trail records the escalation with the reason.

Reassign a Task

  • Open the workflow detail and locate the current task.

  • Click Reassign on the task.

  • Select the new user and enter a reason.

  • Click Confirm.

  • The task is reassigned. The original assignee no longer sees the task; the new assignee sees it in their task list.

  • The audit trail records the reassignment with both users and the reason.

Email Notifications

ProcessPro sends email notifications for the following workflow events:

  • Task assignment — when a workflow starts or advances, assigned users receive an email with task details, the process title, and a link to the workflow step.

  • Escalation — when a task is escalated, the target user receives an email with the escalation reason and task context.

  • Reassignment — when a task is reassigned, the new assignee receives an email with the task details.

Note: Escalation and reassignment require Manage or Supervise permission on the workflow.
