Set a Process or Value Stream as Private

Change processes and value streams to private to restrict access.

As a stakeholder or administrator, you can set a process or value stream as private by selecting the private option from the edit Information screen. The process/value stream will remain private, even after it is published.

Quick Steps

  • Open a process or value stream

  • Click on the Edit Information button at the top

  • On the properties tab, select private from the access options

What happens if a Process is set as Private

  • Only users listed in the Stakeholders section have access, regardless of the status of the process/value stream.

  • To access a private process, the owner can be contacted to provide access.

  • It is only visible in the process summary of administrators and stakeholders linked to the process.

  • Administrators can see private processes on their summary screen but will only be able to access them if they are a stakeholder.

  • The process cannot be linked to any other processes.

  • Users cannot share the process.

  • The process cannot be printed.

  • Private processes cannot be exported.

  • No feedback can be added to a private process, because only the stakeholders have access to it.

  • A private process is not searchable and will not display in the directory.

  • Private processes cannot be selected for bulk changes.

  • When a private process is published, notifications will only be sent to the stakeholders and NOT to users linked to the activities.

  • Private processes are not included in any reports.

  • Private processes are excluded from the process limit count.

  • If a private process was returned to being public and the process limit has been reached, a public process would need to be deleted to make space for the private process to become public.
