Create a Link Attachment

Link attachments allow you to add a link to another website that is needed in a process or value stream.

As an administrator, or a user with the Add Attachment permission, you can create a new link attachment.

Administrators have the ability to create different attachment link types that can be used when creating links to help users differentiate the types. To find out how to do this, you can read more here...

A link attachment can be used to link internal, or external URLs, to a process or value stream. For example, if you have an online portal that needs to be used in a process or value stream, you can use the URL to create a link attachment.

It is good practice to add a link to an activity instead of adding the link in a task or a note. If the link is pasted into the description of a task or note, the link would need to be copied and pasted into the user's browser in order to access it. However, if the URL was added to a link, the user could click on it and instantly be directed to the site.

Links can be added as a full link that includes http/https (https://www.processpro.io.com), half link that include "www" (www.processpro.com) or shortened links that just have the details of the link (processpro.com).

When you upload a new link within a process, it will appear in the same group the process is in.

Create a Link Attachment

  1. Open the process or value stream you want to add the link to

  2. Open the Add Attachment pop up

    1. Right click on an activity node

    2. Click on the options icon next to the activity title in the diagram content menu

    3. Click on the options icon next to the activity title in the magnifying glass

  3. Click Add Attachment

  4. Change the tab to Link

  5. Complete the fields

  6. Click on Add Attachment

  7. The link will appear below the activity in the diagram content

Turn on the Display in popup toggle to open the link in a popup window within ProcessPro.

NB. Not all links will open in the popup within ProcessPro because of security measures (like X-Frame-Options and Content Security Policy), cross-origin restrictions, frame-busting scripts, content embedding policies, and browser settings that prevent their display. A warning message will show when you attempt to open a link in a popup to let users know that the link cannot be opened.

In order to reposition a link within an activity, drag and drop the item to a new position.

To delete a link from a process or value stream, click on the cog beside the attachment title and select Delete Attachment and select Yes.

To edit a link in a process or value stream, the owner of the attachment, or an administrator can change the attachment details. Users that are a stakeholder on the process or value stream, but are not the owner, author or an administrator can only move the attachment to a new activity or change it to a different existing attachment. To edit an attachment, click on the cog beside the attachment title and select Update Attachment.
