The directory is a filing area for all your processes, value streams, managed documents and attachments. It provides an overall picture of where all items are located. The directory is available to all users.

Permission Apply in the Directory:

  • Update, create, delete groups - Administrator

  • Reorder groups - Administrators/ users with Allow Directory Reordering permission

  • Create processes, value streams, attachments - Administrators

  • Delete processes, value streams - Administrators/ Stakeholder

  • Delete attachments - Administrators/ Stakeholder

  • Delete managed document - Administrators/ Stakeholder

The filter/search bar and filter toggles can help simplify the search for the item you are looking for. Toggles, filters, collapse/expand preferences on the Directory page will be remembered when you navigate away/ log out.

Expand/collapse groups

  • Double-click on the folder to expand/collapse

  • Click on the arrow next to the folder to expand/collapse

  • Click on the Expand/Collapse All button to expand/collapse all the folders at once

You can also choose whether to hide or display items by toggling the appropriate toggle in the top left of the screen.

Attachments will not be displayed if the Remove Directory Attachments permission has been added to the company you are currently in.

Preview

To preview an item in the directory, simply select it and a preview box will appear next to it. Access restrictions apply. If an item has a draft status, it can only be viewed by stakeholders (owners, experts and authors) and your company administrators. A user cannot view it but can request to be notified once the item has been published.

Create/Update

An administrator can add new groups, processes, value streams and managed documents in the directory by right clicking on the group and filling in the details. The item will not open and the page will remain in the directory with the new item added to the selected group.

If you accidentally selected to create a new group, simply press the esc key on your keyboard to close and delete the new group you are in the process of naming.

Reorder

Administrators and users with Allow Directory Reordering permission, can drag and drop items to change the order or group they are in. To do this, click and hold on the item you want to move, drag it to the new location and release your mouse to drop it in that new location.

To open the item once you have found it, single click on the title or right click and select open.

Delete

Groups can be deleted if they do not have any items in them. Processes, value streams, managed documents and attachments can also be deleted. The company-level group cannot be deleted, even when empty.

Right click on the item and select delete.

Note

  • Directory organization is fully permitted regardless of object status.

  • When viewing on a mobile device, with a width of less than 900px, you won't be able to move items between folders.
