Organisation Structure Screen

A view of the current company's organisational structure.

As a user, you can access the organisational structure screen by clicking on the Toggle Organisation Structure button at the top of the organisation chart. This allows all users to visually see the company's groups. Only the top level groups will be displayed and they will appear in the same order as in the directory.

In the organisation structure you can move between multiple different levels. As you move the path you are following is shown at the top of the page. This path allows you to return to certain levels of the organisation structure without having to use the grey arrow in the level section. If you want to quickly go back to the company level you can click on the reset button located above the path. The different levels will be discussed in more detail later in this article.

You can also zoom in and out of the page by using the zoom bar. Click on the Zoom to Fit button to reset the zoom.

Click on the Toggle Organisation Chart button to be taken to the organisational chart view.

Instance Level

If you have the View Global Companies List permission, or you have access to more than one company in ProcessPro, you will see a grey upwards arrow in the top right of your current company box. You can click on this arrow to be taken to the instance level.

In the instance level, you can see the name of your instance and all the companies you have access to. Below each company name you can see the number of processes in the company and how many processes the company is limited to.

Company Level

Click on the green diagonal arrow in the top right corner of the company you want to enter to view the company's top level groups.

In the company level, you can see the following:

  1. Process owner role has no user assigned

    1. A yellow triangle will appear when one or more process owner roles do not have a user

  2. Process activity role has no user assigned

    1. A yellow circle will appear when one or more activity roles do not have a user

  3. Go to group level

  4. Group name

  5. Group owner

    1. Green when a role is assigned

    2. Red when there is no role assigned

  6. Number of processes in the group

  7. Number of roles associated to the group

Group Level

Click on the green diagonal arrow in the top right corner of a group you want to look at to see the group's parent role and all roles associated to the group.

In the Group level, you can see the following:

  1. Current group you are in

  2. Return to company level

  3. Parent role/owner of the group

  4. Name of the role

  5. User's associated to the parent role

  6. Child role of the parent

  7. Open role to see the associated processes

  8. Red triangle warning: Owner of the process is assigned to a different group than the process

  9. Process associated to roles within the group

  10. Name of the process

    1. Status of the process

    2. Review date of the process

  11. Go to process

Parent Role Level

Click on the green diagonal arrow in the top right corner of a parent role you want to look at to see the processes assigned to the specific role you selected.

In the Role Level you can see the following:

  1. Current role level

  2. Processes that are owned by the current role

  3. The processes that are in a different group to the owner

  4. Child role

Child Role Level

Click on the green diagonal arrow in the top right corner of the child role below the parent role to see the processes assigned.

In the Child Role level you can see the following:

  1. Parent role

  2. Child role

  3. Process that has child role assigned as owner

Process

Click on the green diagonal arrow in the top right corner of the process to open the process in a new tab in your browser.

The permissions around opening processes remain in place. If you are a user, that is not a stakeholder on a draft process, you will be unable to open it. You cannot open processes that are in a different company to your current one. Private processes will be omitted from the list of processes that appear beside the roles.
