Creating a Process with the Import panel

Import a process from documents by importing the text into ProcessPro and then dragging and dropping the information onto the map.

If any data comes through that is not necessary, you can easily remove it by using the delete button below the section or selecting the section and pressing the delete (fn-backspace) button on your keyboard. You can also edit information if it does not come through correctly by using the edit button.

Options

Click on the options button to open up the import options pop up window. Here you can set separators and change PDF margins.

Search

Find your next activity by typing a keyword in the filter bar. All activities that contain this keyword will appear making it easier to navigate through large processes with many steps and tasks.

Separators

In the general tab, you are able to set different separators. Separators are what splits your file into multiple sections. The standard separators are .[Space], .[New Line], :[New Line], [New Line] and [Carriage Return]. You can add more separators if needed. Separators can be any typeable character. When the page is refreshed any added separators will be removed and any of the standard separators that have been removed will be re-added.

Margins

In the PDF tab, you can set the margins of your PDF window. This allows you to cut off any unwanted headers and footers that you may have in your PDF.

Merge with Below

Multiple sections can be merged together by clicking on the Merge with below button below the sections you want to merge.

Split Sections

The edit button also allows you to split a section into multiple different sections.

  • Double click on the text or select the Edit button

  • Place your cursor where you would like to split the section

  • Hold shift on your keyboard and press enter twice

    • There needs to be a new blank line between the two texts for the split to occur

  • Release the shift button and press enter again or click off of the section

The section should split where you inserted the new line. Multiple sections can be created in one action.

Change Type

Before adding the text sections to the process map you can change the type of them to ensure the correct information is being added as the correct type.

  • Click on the section you want to change the type of

  • Click on the type field

  • Select the type you wish to change to

Import Roles with the Section

As a User with the create roles permission or an administrator you can create a process by importing the roles associated with each activity in the import panel. If the role does not exist, it will be created and added to the roles list.

Include Roles in query results

When importing a process using the Generate with AI button you can toggle on the option to include roles in the import sections. The role will be included in the section in brackets, for example [Bar Tender].

You can edit an import section and add the role you want the activity to be associated with by adding the role into brackets. For example, edit the import section and add [Bar Tender] in front of the activity details, drag and drop the section onto the map and the activity will be added to the role you added.

Any roles included in sections that are imported as tasks, notes, objectives, inputs, triggers, outputs and attachments will be removed when the section is dragged and dropped onto the map.

Sections can be dropped onto the process map, however there is very specific criteria to follow:

  • Drag and drop any of the activity types anywhere onto the whitespace of the map

    • You can drag an activity section from the import panel onto an activity in the map to import the section as a task in the selected activity

  • You can drop a task, note, and tag onto an activity node from the import panel

    • You must have your whole cursor in the activity node when dropping the above to ensure it is dropped correctly

  • You can drop process notes, triggers, inputs and outputs anywhere on the map to add them to process

  • You can drop a trigger, input or output onto an activity to create a link between the two

    • Triggers, inputs and outputs cannot be able to be added to decisions and process links

  • If you drop a section where it not supposed to be dropped, you will get a warning message to state where the section cannot be dropped

  • You are able to make all relevant changes to the activities such as adding tasks, notes, tags, attachments, setting gateways and alternate paths, duplication and deleting in the right click menu or the diagram content menu
