Convert an Activity to a Task

Activities may be created but should be a task instead. You can convert an activity to a task on another activity in your current map.

As a stakeholder, you can convert an activity or a process link to a task. You may have created an activity and then realised that it should be a small task instead as there is too little information or it closely relates to another activity.

Quick Steps

  • Select the option icon in the diagram content menu, when the map is hidden or in the magnifying glass pop up

  • Click Convert to Task

  • Select the activity you want to link the new task to

  • Change the description if needed

  • Click the green Convert to Task button

Alternatively:

  • Right click on the activity

  • Hover over actions

  • Click Convert to Task

  • Select the activity you want to link the new task to

  • Change the description if needed

  • Click the green Convert to Task button

What happens when an activity is converted to a task?

  • All the activity attachments will be added below any existing tasks on the chosen activity

  • A process link will lose all of its attachments and only the process link title will be added to the task list

  • A decision's attached process link, activity or alternate path will be excluded from the task list

  • Only a decision's title and any attached notes will be converted to tasks on the task list

  • Links to triggers, inputs and outputs will be removed and they will show that there is no activity attached if you open the trigger, input and output tab in the diagram content menu

  • Tags will be deleted if not found elsewhere in the process (similar to when deleting an activity)

  • Activities cannot be converted if they are 1 of two activities in a gateway

  • Activities cannot be converted if they are the only continuous pathway in a gateway
