View Unpublished Version User Permission

A user can request the permission to View Unpublished Version of a process/value stream/managed document. An administrator has to grant/deny this permission.

If an object (process, value stream, managed document) is still in Draft, users without permission cannot open it. Only administrators and stakeholders can view or edit drafts. If review access is needed before it is published, access can be requested.

To Request Access as a User

  • Open the Draft process or other Draft object.

  • When the access message is displayed, select Request permission: View Unpublished Version. When the user requests access, the button becomes disabled and changes to Permission request pending: View Unpublished Version. This will display on all the popups when trying to access a draft object.

  • The request is sent to the system administrators for review.

After the request is submitted:

  1. All administrators receive a task informing them that a user has requested permission to view Draft objects.

  2. An administrator reviews the request.

    1. If the request is approved, the user is granted permission to view unpublished versions. The user receives a notification confirming that the permission has been granted. The user can open and view all Draft objects but cannot edit them.

    2. If the request is declined, the administrator must provide a reason. The user receives a notification that the request was declined, including the reason provided.


Note

  • This permission allows users to view unpublished versions only.

  • It does not allow users to edit Draft processes/ value streams/ managed documents.
