Decline Publish Request for a Managed Document, Process or a Value Stream

How to decline a request to approve a managed document, process or value stream. What happens when a request is declined?

If required to give approval for a managed document, process or value stream to be published, you will receive a task in your task summary for the approval request. If a managed document, process or value stream approval needs to be declined this can be done in one of two ways: from the task summary or from within the item awaiting approval.

Decline a Request from the Task Summary\

In order to decline a request from the task summary screen, the company permission, allow to approve from task, needs to be enabled.

  1. Click on Tasks from the left navigation

  2. Click on the title of the task

  3. Click Decline on the pop-up

  4. Fill in the details for why you are declining the approval

  5. Click Decline

The user needs to be in the company that the item is in to decline from the task, in the task summary screen.

Decline a Request from the Details screen

  1. Open the item awaiting approval

    1. Click on the item name in the pop-up

  2. Click the Approve button

  3. Click Decline

  4. Enter the reason for declining the request

  5. Click Decline

The following happens when a request is declined

  • A notification is sent to all approvers that the approval has been declined

  • The user who requested the approval will receive a task to follow-up

  • The decline reason is captured in the process change log

  • The status of the item changes to Approval Declined

  • All action buttons are disabled

Any of the stakeholders can request approval to publish, but it would normally be the original requestor that will re-submit the process approval.
