The toggle switches and filter bar can help simplify the attachments that appear in the list.
As an administrator, or a user with the Add Attachments permission, you can create new attachments. There are 3 different ways attachments can be added:
Attachments have owners and authors when created to ensure they can be edited and deleted by the correct users. Authors can be searched for using the filter bar and replaced within the update attachment pop up.
You can change the order the summary list displays by clicking on the sort icons next to the heading you want to sort by. You can sort titles, tags, owners, authors, group, processes associated, and status in alphabetical or reverse alphabetical order and review date and last edited in ascending or descending order.
Attachments can have review dates and cycles set for them in the creation process. When a review date appears in the past, the attachment status changes to overdue. Overdue attachments will not generate tasks to remind users to review them. You can use the process list report to generate a list of all overdue attachments.
When attachments are created within a process, they will appear in the same group the process is in.
Quick Steps
Click Add Attachment
Select the attachment type
Ensure the details on the Properties tab are correct
Click on the Add Attachment button
To change the details of an attachment, click on the attachment title to open the attachment details screen. Update the fields you need and then click Update Attachment. Changes to the attachment details will be reflected in all processes the attachment is linked to.
Links that were added before the type references came into place will be listed as null. These links will need to be edited to have a link type added to them manually to ensure the correct type is selected and showing on the summary screen.
The change log can be accessed by clicking on the title of the attachment and change the tab to the change log tab. The change log should look similar to the screenshot below.
To change the owner, use the Bulk Change button or the ownership report.
To delete, select the attachments you want to remove and click on the delete button. This record will be permanently removed and cannot be reinstated. The reason for deletion is recorded in the change log.
Status
Attachments can have only two statuses, namely Active and Overdue.
Active status is the default status on attachments.
Not Found status indicates that the system can't locate the physical file in the Azure Storage server.
