Reports and their Functions Explained

Get to know which report to use for different scenarios within ProcessPro.

There are several options available to administrators, or users that have the view report permission, in the reports section. These snapshots cover a variety of areas. If an administrator or user has access to multiple companies, the report will only display information relating to the current company.

The reports menu list can be collapsed and expanded using the arrow above the list, to allow the report to display on the whole screen available. Menu items can be changed quickly when the menu is collapsed by hovering over the 3 dots. Simply click on the arrow again to expand the menu out.

Process List

Generate, and export, a report that lists all the processes, value streams, managed documents and attachments within the company you are currently in.

Customise the report based on status, type, tags, attachment link type, business continuity category, glossary terms, note types, groups, role assigned to activities, the stakeholders or between certain dates. If the dates are enabled, dates need to be selected for the report to generate.

The report will display all items that match the selected filters. Not all filter fields need to be entered, but results will only show if all the selected filters match the item. The ability to create filters that can be saved, and shared, is also available.

Approval Activities

An activity type can be changed to an approval activity, and then this reflects on the map as a brown node. This approval is not linked to publishing, it is to highlight an area where internal approval may be required.

The approval activities report lists all the approval activities that appear within processes and value streams.

The report includes the name, activity name, group, role responsible, owner, last updated date, who updated it and what the current status is.

System Engagement

This generates a list of all processes, value streams and managed documents that have been viewed by internal and external users.

The report includes the objects title, how many unique users have viewed the object and the total number of times each user has viewed the object normally or as a quickview.

Feedback Summary

A list of all feedback records and replies from processes, value streams and managed documents are recorded in the report.

The report includes the title of the item, the description of the feedback record, the type, version number of the item, the user that created the record and the date created.

AI History Request

View a report with all AI calls made by users within your current company. The report will show you the process name, requestor name, request and the date the request was made. The report can be exported to PDF, Excel and CSV.

Role Allocation

Create a list of all roles, role families, responsibilities and service roles, and the users or roles associated to them.

Included in the report is the role description, role type, linked users, linked roles and the status of the role in the company. The role, role family and responsibility will be listed multiple times if there is more than one user or role assigned to it.

Role Allocation Status

This report will show the allocation of roles and responsibilities, both at the process/value stream level as owners, and their use in activities. The role allocation report shows whether roles have been under, over or adequately allocated and the cumulative time assigned.

This will help organise and balance the workload, as well as being a useful tool to assist in the planning of organisational changes.

User-Role Allocation

This report is similar to the role allocation report, however, it shows the users and their associated roles.

The report displays the users' names, email, username, linked roles and status of the role. Users will appear in the report multiple times if they have more than one role, role family or responsibility assigned to them.

Ownership

From this report there is the ability to bulk change the owners of items, or reassign roles assigned to activities.

Customise the report based on status, type, tags, business continuity category, glossary term, note type, group, role assigned to activities, the stakeholders or between certain dates. If the dates are enabled, dates need to be selected for the report to generate. The activity role is a required field.

The report displays the title of the items, owner and the selected activity role count in the item.

Approval Requests

This report will only be available if allow process approval is active.

Included here are processes, value streams and managed documents awaiting approval, or where approval has been declined. Click on the title to view the progress of the approval. Administrators can override awaiting approval by using the bulk change button.

Unassigned Roles

The unassigned roles report identifies processes and value streams that have no associated users linked to the roles that have been assigned to the activities.

The report displays the title, owner, group the item is stored in, date created, last updated date, any tags associated to the process/ value stream and the status of the item.

Outstanding Tasks

Ensure outstanding tasks are completed, either by the assigned user or by acting from within the report, in order to prevent stagnation. Tasks will be displayed on this report if their due date is within the next 30 days. Any due dates greater than 30 days will be hidden until they become active.

Acknowledge Status

When an acknowledgment request is sent, users that are associated to the specific item will receive a task to acknowledge they have read and understood the process, value stream or managed document. When the tasks are generated, they are added to this report for all administrators to keep track of who has acknowledged what and who needs to be followed up on.

The report displays the title of the item, users' full names, date the acknowledgement request was created, due date of the acknowledgement task, date of completion and the status of the task.
