As an administrator, you are able to create a role hierarchy for a company, which will be reflected in the organisational structure screen.

Navigate to settings where the role hierarchy tab is located. Once selected the screen will show the top level groups, and a list of all the roles, for the company you are currently in.

Associate Group Owners

The first step is to select which role will be the group owner. There can only be one role as the owner in a group:

  • Select the role you want to be the group's owner

  • Drag and drop the role so that the arrow is directly beside the group name

  • Once dropped the name of the role will appear just below the group

If the role is dropped slightly off of the group a yellow pop up will appear to notify you that you need to assign the role to a group or a role. Look for the green tick as you are moving your roles to show when to drop the role.

Associate Role Parents

The group owner will be the top level of any other roles assigned to the group. You can have multiple child roles assigned to a parent. If you try to make a child the parent you will receive an error.

There are several ways to associate role parents:

Drag and drop

  • Select the role you want as a child role

  • Drag and drop the role so that the arrow is directly beside the parent role

  • The child will be reflected below the parent and slightly indented

Double click

  • Double click on the role you want as a child role

  • Select the parent role from the dropdown menu

  • Click on the green Add Role Parents Association button

Using the Associate Role Parents button

  • Select the child role from the role list

  • Click on the green associate role parents button

  • In the pop up select the parent role from the dropdown menu

  • Click on the green Add Role Parents Association button

The system roles, unassigned and all staff, are unable to be selected as parent roles.

Remove Parent Roles

You can remove parent roles from the add role parents association pop up or from the role details pop up in the administrator settings.

Add Role Parents Association:

  • Select the child role you want to remove the parent role from

  • Click on the x beside the parent role

Role details:

  • Open the Role details of the child role you want to remove the parent role from

  • Click on the x beside the parent role
