View Form Field Values on the Workflow Summary

How the Workflow Summary shows opted-in dynamic form fields as company-wide columns: values from form submissions, blank cells for non-opted forms, first non-empty value rules, and refreshing for new columns.

Written by Hylet Pistorius

The Workflow Summary (Workflows on the left-hand navigation menu) lists every workflow in your company alongside its key details, so you can see what is going on without opening each record. Alongside the built-in columns such as Title and Reference Number, any shared, required form field that a designer has opted in with the Display on Workflow Summary switch appears as its own column, headed by that field's label.

This surfaces the information that matters most - the values captured on each workflow's form - so the summary becomes a single place to compare workflows at a glance.

Restrictions

  • Only fields opted in with the Display on Workflow Summary switch appear as columns. A designer must opt the field in on the form before its column is available.

  • Columns are company-wide for the shared field. Per-workflow column visibility is not available.

  • Column values are taken from the workflow's form submission only - not from other workflow data.

  • Repeater fields and their child fields never appear as columns.

Quick Steps

  • Select Workflows from the left-hand navigation menu to open the Workflow Summary.

  • Find the column headed by the field's label - opted-in field columns appear in addition to the built-in columns such as Title and Reference Number.

  • Read the value each workflow captured for that field on its form submission.

How Column Values are Chosen

  • One column per opted-in field. Each field opted in to the Workflow Summary gets its own column, headed by the field's label.

  • Values come from the form submission. The cell shows the value submitted on that workflow's form - not other workflow data.

  • Empty values are skipped. If a form submission contains more than one value for the field (or earlier empty entries), the empty values are skipped and the first non-empty value is displayed.

  • Blank cells are expected. If every value for the field is empty, the cell is blank - no error and no placeholder text. A workflow whose form did not opt the field in also shows a blank cell in that column.

New Columns Need a Refresh

When a designer opts in a new field, the new column is not shown on a Workflow Summary that is already open. Refresh the page - the column then appears, headed by the field's label.

Important: The Workflow Summary does not update its columns live. Always refresh the page after a field has been opted in to see its column.

Important: A blank cell means the workflow's form did not capture a value for that field - it is expected behaviour, not missing data.
