The Workflow Summary lists your workflows with their key details so you can assess what is going on without opening each record. Its built-in columns (such as Title and Reference Number) are fixed. The Display on Workflow Summary switch lets a form designer surface an important form field - an incident category, a priority level, a request type - as its own column on the summary.
The switch sits on each field's Details tab in the form designer, directly under the Hidden switch.
Restrictions
Only fields that are both shared and required can be displayed on the Workflow Summary. The switch is always visible, but it is only enabled when the field meets both conditions.
Repeater fields and their child fields cannot be displayed on the Workflow Summary - they never appear as columns.
The display flag is only stored when the field is saved in a shared and required state.
Column values are always taken from the form submission - see View Form Field Values on the Workflow Summary for how values are chosen.
Quick Steps
Navigate to Settings > Dynamic Forms and open the form in the form designer
Select the field on the canvas - its Details tab opens on the right-hand side
If the field is not shared, select Convert to Shared Field and confirm
Turn on the Required toggle
Turn on the Display on Workflow Summary switch, positioned directly under the Hidden switch
Select Save
Refresh the Workflow Summary (Workflows on the left-hand navigation menu) to see the new column
Switch States and Tooltips
The switch is always visible on the Details tab, whether or not it can currently be used:
Enabled - the field is both shared and required. Toggle the switch on to display the field as a Workflow Summary column.
Disabled (greyed out) - the field does not meet both conditions yet. Hover over the switch to see a tooltip explaining what is missing:
The field is not shared - the tooltip explains the field must be converted to shared (and marked required) before it can be displayed on the Workflow Summary.
The field is shared but not required - the tooltip explains the field must be marked required before it can be displayed on the Workflow Summary.
The field is neither shared nor required - the tooltip explains both steps: convert the field to shared AND mark it required.
As soon as a field is both shared and required - even before saving - the switch becomes enabled and can be toggled.
Important: Save enforces the same rule - the display flag is only stored while the field is shared and required. If the field is saved in any other state, the save is refused or the flag is not stored, and the switch returns to off or disabled after a reload.
Important: Converting a field to shared and switching Required on enables the Display on Workflow Summary switch immediately - you do not need to save first.
Important: Repeater and child fields are excluded from this feature. They cannot be opted in and never appear as Workflow Summary columns.
Important: After opting in a new field, refresh the Workflow Summary so the new column appears.
