Roles
Roles can be considered job titles. Multiple users within an organisation can be assigned to a role, for example you may have several people who fulfill the role of secretary. Only users can be assigned to roles.
Role Family
Role families are similar to departments. You can allocate multiple roles to a role family. For example you may have an accounts receivable clerk, accounts payable clerk, payroll and an accountant all in the accounting department.
To create a role family, open the settings in the left navigation, select roles, click add role and change the type to a role family in the add role details pop up screen. Add the details for the role family like you would for a role and click add role when you have added all the details.
To assign roles to a role family, select the role family you want to assign roles to and click on the Bulk Changes button. Select Associate Roles to Role Family and select all the roles from the list that you would like to associate. Only roles can be associated to a role family.
Responsibility
Responsibilities are an addition to roles and can be allocated to one or more users. For example you may have multiple team members from various departments who carry out the responsibilities of fire warden in an emergency.
To create a responsibility, open the settings in the left navigation, select roles, click add role and change the type to a responsibility in the add role details pop up screen. Add the details for the responsibility like you would for a role and click add role when you have added all the details.
To assign users to a responsibility, select the responsibility and click on the Bulk Changes button. Select Associate Users with Role and select all the users you want to add to the responsibility. Only users can be associated to a responsibility.
Service Role
A service role is an automated Role that requires little to no user input. It cannot have users or roles assigned to it.
To create a service role, open the settings in the left navigation, select roles, click add role and change the type to service role in the add role details pop up screen. Add the details for the service role and click add role to save the details.
A role can be changed to a service role if it is not associated to users or processes. If the role is associated with a private object, the role will show as associated to 0 objects in the roles summary.
System Role
A system role is a role that is added by default when creating a new company. System roles cannot be deleted and cannot have users or roles assigned to them.
A system role name and type cannot be changed, but the colour and cost can.
To update the details of existing roles, role families, responsibilities or service roles, click on the title and update the details. You are unable to change to name and type of the system role.
