Set Gateway Options

Activities sometimes need to be completed simultaneously or one instead of another. To show this on the map you need to set a gateway group.

What is a Gateway?

A gateway is a point where the user can choose which route to take, much like deciding which direction to go at a fork in the road. However, unlike a typical fork, a gateway allows tasks to run in parallel. These tasks happen simultaneously, running side by side. A gateway is how we display parallel tasks on a process map, helping you visualize multiple tasks occurring at the same time.

As a stakeholder or administrator, you can set different types of gateways to demonstrate your unique process. You can add endpoints to gateways and drag and drop activities in the diagram content menu to reorganise the gateway layout.

Activities or process links that are included in a gateway will always have the role they are assigned to embedded within the node.

Quick Steps

  1. Open the item you want to add a gateway to

  2. From the diagram content, click the options icon next to the item

    1. Or right-click on the activity in the map

    2. Or select an activity and press Alt-G on your keyboard

  3. Select Set Gateway Options

  4. Choose the activity you want to add to the gateway

  5. Click Save Changes

  6. Add as many activities or process links as you need

  7. The gateway will appear on the map

Decisions and their attached process link or activity cannot be added into gateways.

To Add Row Labels to the Gateway Activities

  1. Right-click on the first activity in the row

  2. Open the Set Gateway Options

  3. Change the tab to Row Label

  4. Enter the label into the supplied field

  5. Click Save Changes

When an activity has been in a row and acquired a label, that label will follow the activity to a new row in the gateway unless the row label is changed before the activity moves to the new row. If the label is not needed, simply delete the label when changing the row of the node.

The maximum number of characters allowed in the gateway row label is 75 characters.

Change the Layout of the Gateway

Follow these steps to rearrange the nodes by moving a node into a parallel row, and from one row to another row:

  1. Right-click on the activity that you want to move

  2. Select Options

  3. Open the Set Gateway Options

  4. Change the row number (e.g., 1, 2, and 3)

  5. Select Save Changes

  6. The gateway will update on the map

Alternatively, following these steps, you can drag and drop the activity into a new location in the diagram content menu.

To Remove an Activity from the Gateway

  1. Open the Set Gateway Options

  2. Click Remove from Gateway

  3. Click Save Changes

  4. To delete the gateway, remove all the activities from it

Or you can drag and drop the activity into a new location in the diagram content menu.
