Creating, Editing and Publishing Future States

Create a future state to update a process and hide the details from users until the future state is finalised and published.

A future state can be created to allow a process to be updated, while still allowing the current version of the process to be accessible to other users.

In order to create a future state, you need to be a stakeholder on that process, or an administrator in the system.

Open the process you want to create a future state for by clicking on the title of it in the dashboard or processes summary screen.

In the diagram content, click on the actions menu and then select Create Future State Version. Click open future state to begin editing the process in the future state. The process will open and show the status of future state to allow you to differentiate between the current state and the future state.

You can edit the future state process the same way you do a normal process. All the same features are accessible.

When you have finalised editing the future state process and are ready to release it for other users to view it, you need to publish the future state. To do this, click on the actions icon in the diagram content and select Request Approval to Publish or Publish Future State.

Future states can be deleted if there is an issue with it or it is no longer needed. To delete a future state, open the actions menu and select Delete this Future State.

Future states can also be reset to resemble a copy of the current state. To reset a future state, open the actions menu and select Copy Current State to Future State.

Switch between swimlane view or embedded view in future state

To enable swimlane/ embedded view, switch to current view by selecting the Current state icon in the right-hand navigation menu. Select Actions to enable/ disable embedded view. Navigate back to Future state . The map will display in the view that was selected in current state.

Informees

When working in a Future State, the informees will only be updated once the process is published. So, the stakeholder tab will always reflect CURRENT state informees, even when you are in the Future State.

Note the following that will take effect once a future state is published:

  • All roles that are allocated on the future state process, will automatically be added as informees once published

  • All informees will receive a notification that a future state has been published, indicating the correct version number

  • Current state roles that are no longer used, be removed as informees once published
