Streamline document management with managed documents
A central location for all important documentation has been made possible with the introduction of managed documents. There are three default categories - policies, bylaws and contracts. Any previously created policies will be found here.
Administrators can add or remove document types and have complete control over the kind of documents they choose to handle in ProcessPro. To add new documents to the system, users must have the add managed documents permission enabled.
Introducing enhanced search functionality
Our new and improved search is accessible from anywhere in the application by selecting the magnifying glass at the top of the page. Enter a term into the filter area and press enter. A new matched on feature will show the places your search term matched for example title or objectives. If further refinement is required use the filters on the right-hand side and apply these to your search results.
Preview processes, value streams and managed documents from directory
As a user, you can preview items in the directory to help find the correct one before opening it. Viewing permissions are still enabled within the directory, this means that if a user were to view a draft item they are not a stakeholder on, they will be unable to view it. Changes cannot be made via the directory and stakeholders would need to open the item to make any changes.
Highlight important terms with glossary tagging
Administrators can add, edit or delete glossary terms in the administrator settings. All terms that match a glossary term will show up in green within processes, managed documents and value streams. When hovered over, the description given to the glossary term will appear above the green word. Terms need to match exactly and are case sensitive, for example policy and Policy do not match exactly so the description will not display.
Add a 'viewed' counter on objects and create a system engagement report with details
As a user, you can see the total number of times a process, managed document or value stream has been opened by others. The views counter can be seen beside the last edited date within the item that is opened. A system engagement report has been created to allow administrators determine specific process interactions.
Add the option to delete outstanding acknowledgement tasks
Outstanding acknowledgement tasks can be deleted by administrators through the acknowledgement status report. This enables administrators to resend acknowledgement tasks to users if changes are made to the process, managed document or value stream.

We have introduced external references (xref) to users and roles to improve the API functionality when adding or updating in ProcessPro. The new xref links to the API import feature and updates relevant users and roles.
Allow administrators to restrict sharing, generate with AI and request details permissions
Administrators can set whether sharing, generating processes with AI and requesting details for activities can be done within their specific company. Remove or set these options through the company permissions.
Allow administrators to search for user permissions
Administrators can now search for a specific user permission within the users page of the administrator settings.
Create "All participate in" toggle on summary screens
This toggle shows all the items where ALL STAFF is used in an activity role or as an informee in managed documents. ALL STAFF has been removed from showing in the 'I participate in' toggle to clearly show the items the user has specifically been added to.
